  1. Service Orders: Automatically select the Meter

    Creating based on User Conference feedback:

    When creating a service order, and the location has a meter associated with it, we would like to see the Meter automatically selected instead of having to manually do it on every service order. As part of our business process, we always select the meter on every service order. It would save time and generate efficiency.

  3. Expired Credit Card Report

    I am reaching out about the expired credit card report that we pull monthly. Is there a way to only pull the expiration month and year for what we are looking for? I know there is an option to deselect customers when running the report before sending them a reminder email. It would be easier if we could put in a date range we are wanting to run.

    As an example –
    We processed January’s expiring credit card report. When the report was generated there were 249 customers listed on the report, only 38 were for January 2023 expiring credit…

  4. Payment Received Notification

    Especially in the case of shut offs that are a promise to pay, it would be super helpful if UMS had a message pop up or an email go out to staff that a payment was posted to that account. Maybe by customer code that we turn on manually for a customer we want to watch for payments on. This would be helpful for when our team is out for shut off and someone comes out and says wait I'll go online and pay right now and the team moves on to save them for last. If we got a…

    This is currently an option in Setup > Company > Communication Options > Notify Users When Shutoff Account Becomes Current.  Please reach out to us if you need help setting this up or have any questions.

  5. Notes Tab

    In the note section it would be nice to be able to see any emails that are sent from UMS to the customers. Whether it be a notifications like delinquencies and shut offs. We are only able to see the statements that are emailed out.

    As previously mentioned, these email notifications (Statements/Delinquencies/Shutoffs) are now present in the customer's "Email History" view under the History Tab as of UMS version 6.8+. These email notifications will show for any customer that has been sent these emails through UMS processes. In order for a customer to receive these emails, they need a valid email on the account, as well as the email communication preference for Delinquencies.

  6. Consumption History Top 10 Users

    National User Conference Request: Need the ability to run the Consumption History report and pull the top 10 users for the period. This should be the overall top 10 users (sum of the time period) and not per billing.

  7. Expired Recurring Credit Cards: AutoPay Filter

    When using the Expired Recurring Credit cards feature, it would be useful to have a filtering option to filter to Auto-Pay expired cards verses all wallet items that a web user has saved when generating the report to send notifications to customers.

    This has been completed for UMS Version 6.10.  Please reach out to tech support to schedule an upgrade if you need this feature.  The report is now limited to only recurring credit cards now limited to expiration month/year.

  8. Recconnect Fees printing on bill

    Can we get reconnect fees to print on bills as a Reconnect fee and not a Miscellaneous Charge?

  9. Pending Bills

    We would like for customers not to be able to see pending bills online. We would like for statements to be available for viewing only after they are posted. This can be confusing for customers, to be able to see a pending charge while we are still processing/making adjustments or corrections to bills. We have had numerous customers call because they could see a pending charge, but then the charge ended up being a different amount once the statements were actually processed.

    Thank you for your request. There is already a setting in your CWP Portal Configuration that will allow users to 'Hide Unposted Transactions' on your customers' accounts in the web portal. You can enable this setting by signing into your web portal as an administrator, then selecting the 'Configure Portal Features' button. Inside the list of options is a toggle to 'Hide Unposted Transactions' that can be enabled. Once enabled, unposted transactions will no longer show in the portal.   10. Print Auto Pay Statements Separately

    We would like to be able to print statements for Auto Pay customers (or credit/zero balance customers) separately, so we can send those bills without return envelopes. Currently, you can exclude those types from your bill run, but you cannot then run them separately.

  11. Auto payment date

    When a customer signs up for Auto Payment, it would be nice if UMS would show us in their account what date we entered them as an auto pay customer. We have many customers calling asking when they signed up and we can't tell them. It would also be nice when they claim they were on draft and it didn't pull their payment, but we suspect they signed up after the drafts were pulled.

    This functionality already exists by enabling the audit tab on the control panel through Setup > Customize Account Control Panel.  Once enabled, you will see an 'add' entry for recurring payment (as long as the customer has enrolled) that will display the date, time, and type of recurring payment.  It will also show when autopay or other customer information is edited.  Please let us know if you need anything else.

  12. Allow future date entry on Miscellaneous Charges

    Allow Miscellaneous Charges to be dated in the future. Currently, you can only date miscellaneous charges with the current date. We are able to date miscellaneous charges in the future during the move-in process, but unable to future date if Misc Fee is selected.

  13. ROBO LINE PAYMENT OPTIONS

    Need a way for a person who calls the ROBO LINE (1-844-647-6432) to make a credit card payment in any amount, not just the total amount due. Other companies have this option, and there is a BIG need for this service. We have elderly clients who have no access to computers and if a customer is shut off and needs to make the payment to have services restored, this would be a big help. There is a need and with all the latest technology you would think your company could provide this necessary option, to better service our customers.

  14. RCC/ACH Removal After Final Bill Payment Processed

    We had to compromise and now added the ability to remove expired recurring credit cards while limiting to only final billed accounts, which is available in UMS version 6.10.  We will look into possibly removing ACH information for final billed customers at a later date.

  15. Auto Pay Withdrawals vs Last Statement balance

    We have had MANY customer calls complaining that when AutoPay was processed, the amount withdrawn from their account was different than their statement.

    Example:

    3/31/23 - March statement balance $100.00
    4/10/23 - credit adjustment issued ($25.00)
    4/10/23 - Account balance $75.00
    4/20/23 - Auto pay processed $75.00

    Although this "may" be a good thing for some customers to have less funds withdrawn, for others (ie companies), they have processed the charges listed on the statement. They may not be aware of any credits or charges that appear after the last statement date.

    An option has been added for Customers who wish to specify to only have the Statement Balance withdrawn. This option is now present in the Auto Pay tab on the Account Control Panel called 'Required Amount (Statement Balance)'.  This is also for those accounts using Account Level Budgets.  Select this option to draft the budget/statement amount, otherwise, it will default to draft the current account balance when autopay is ran.

    There is currently an option to email a report created from UMS as an email attachment where it will be attached to an email automatically. When generating the report, select the "Export" option and check the box to "Email as attachment". This will open the default Windows mail client and create a blank email with the report file attached automatically. This process does require some initial setup outside of UMS, as it utilizes the default Windows Mail setup, which is not managed by UMS. The workstation must have a default email setup in the Windows Mail client. This would need to be setup on each individual workstation that needed the functionality.

    Thank you for your suggestion.  This is already a feature and these settings can be enabled in the CWP admin portal to permit this.  If you log into your portal as an 'ADMIN' user and select the 'Configure Portal Security' link on the right, there are settings for QuickPay Security in which you can enable options like being able to look up by name, email address, or phone number.

  18. Message Center Notes are Misleading!

    Refer to Ticket 98258: an Account note SHOULD NOT follow a customer where ever they go. It is misleading and confusing to end user. An Account should stay with the ACTUAL ACCOUNT ( Customer +_ Location which is what an account is ). A Customer note SHOULD follow the customer wherever they go in the system.

  19. Update the Counter when a transaction is reversed.

    Update the Counter when a transaction is reversed. For example, a Late Fee is added and the Late Charges in the last 12 months updates to 1. The transaction is reversed but the counter stays at 1. Update logic to update counter to 0.

  20. Print Final Statements Until Balance Paid or Write Off

    Would like to have the option to continue mailing final statements to customers until balance is paid in full OR until the account is written off. This would also help notify customers if there was an adjustment on the account after final statement was mailed (notifying customer of refund in process).
