Viewing Past Due Balances for Accounts with Multiple Locations
We would like to see the past due balances total up somewhere. We have customers with many locations and to have to total them outside of the program just seems to not be very helpful and takes longer to post a payment. Trying to save time and work easier not harder.
8 votesThank you for this suggestion. We're pleased to let you know that this enhancement has been completed. UB4 now displays a totaled past due balance across all locations for multi-location accounts on the payment screen, eliminating the need to manually calculate totals outside of the system.

AUTO PAY WITHDRAW ON FINAL & WAITING STATUS
Would like for all customers regardless of status to be pulled into auto pay for ACH or Credit card. Rental properties/landlord accounts generate adjustments and final bill customers do not pull to withdraw final billing statements. Over 1/2 of accounts that are final bill have to be moved back into a 'current status' in order to run auto pay to pull final bill balance.
5 votesThank you for bringing this up — this is actually something UB4 already handles through an option in the Final Bill Wizard.
When processing a final bill, there is a checkbox labeled "Remove recurring payment details (Optional)." This checkbox controls whether the customer's existing autopay is retained or removed for the final bill draft. Importantly, if you leave this box unchecked, the existing autopay will be used to pull the final bill balance — no need to move the account back to current status.
A few things to note about how this option works:
- It only applies when the customer already has recurring payment details on file.
- It is only enabled if the customer is not in current/waiting status at any other locations.
- It defaults to the value set in UB4 Company Options under "Remove recurring payment details on final bill."

Mandatory Informational Messages
When trying to inform all of our customers about important information while using the mass customer contact, the customer must opt to get an email, robo call or sms text. Otherwise we are unable to inform all customers of important issues such as, leaks, road closures, interruption of services or time sensitive items. My suggestion is that a mandatory button is added to the information messages option, to be able to reach all of our customers when time sensitive issues that will affect them arise.

Great news: UB4 already includes a feature that should meet your needs. The Emergency Contact List allows you to broadcast notifications directly to customers without requiring them to have opted into a communication preference in advance.
Here's how to use it:
Navigation
Reports > List Reports > Emergency Contact List
Filtering Your Audience
Before sending, you can narrow your recipient list using any combination of the following:
• Limit Options – Apply account- or location-based filters
• Code Filters – Filter by specific account codes
• Street Names – Target customers on specific streets (e.g., E Main St.)
• Regions/Subdivisions – Target customers in specific regions or subdivisions (e.g., Sunny Dale)

Would like to see the past due balance for all locations in one area. Right now we have to go to each location and add the amounts.
We have many customers with multiple locations and would like to see the past due balance for all locations in one tab, not have to go to each location and add them up.

To enable the new functionality:
- Navigate to Settings > Company > Company Options.
- Enable the following options:
- Show customer balance on control panel
- Show location balance on control panel
Once enabled, balances will be visible within the Message Center for quick reference.

more categories for task in service orders
we need a way we can add the task in the work order filters. When we click on categories it only shows us a few options for tasks (reconnects, repairs, rereads, and shut offs) We need more of our own tasks options we use daily.

We wanted to let you know that this functionality already exists within UB4. Service Order Categories can be found at Settings > Lookup > Service Order Categories. From there, you can add new categories by clicking Add, entering a description (up to 25 characters), marking it as active, and saving.
A default set of categories is included when you first set up the system, but the feature is fully flexible — you can create as many custom categories as needed and assign multiple work orders to each one. For example, a "Reconnect" category might include work orders for reconnect after repair, reconnect after shutoff, and reconnect by customer request.

Omnisearch Default Setting
In The UB4 software, OmniSearch. Since we do searches primarily by customer number, and not a general search option, I suggest that the Customer Number be the first thing to look for as a default setting. But it seems a general search is default and when you enter a customer number to search for, you have to select CustomerNumber, and you have to do that for every number you search for. I think the search options should be selectable by the client in client settings. Can we make this happen?

We are pleased to inform you that this functionality has been addressed through the addition of Legacy Search in UB4. Legacy Search allows users to perform searches by Customer Number directly, without needing to manually select a search type with each query.

Notes should sort by date not note level.
On the NOTES tab. Notes should be in date order with the newest note at the top. It shouldn't be by Note Level order. With the current set up, after a while when there are a lot of notes entered in, you are going to have to take extra time to go through the pages to find the newest note in a certain note level.
14 votesThe requested enhancement has been successfully implemented. You can now click on the column headers to sort the data in the desired order. This feature provides an easier and more intuitive way to organize information within the application.

Bring back Omnisearch
Have you taken away omnisearch or is there a glitch? I really enjoyed that as a search option. Made looking things up accounts quick and efficient.
1 voteOmnisearch is still available as a search option within UB4. To enable it, you’ll just need to turn off the “Use Legacy Search” setting. You can find this by navigating to:
Settings → Preferences → Use Legacy Search
Once Use Legacy Search is disabled, Omnisearch will automatically become the default search engine.

businesses have no customer name
When running reports (open balance, aged receivables, etc) the column for Customer name is empty on several accounts. They are all business accounts. Isn't there a way to put the Business name in and STILL record it as a business?

Date when ACH was added
I would like the date noted in the Customer ACH tab. The date the ACH was added to the account would be very helpful when customers are calling and asking why their ACH did not pull for the month.

The functionality you're looking for is already available through the Audit History Report, which can be accessed by navigating to:
Reports > History Reports > Audit History
Once there, you can filter the report by selecting 'AutoPay' to retrieve the specific information you need.

Work Order Screen
Would love see an actual work order screen instead of UB4 just showing the number of work orders. CBSW had a work order screen showing all the outstand work orders and we could complete the work orders from there.

Add a search for Drivers License
We need to be able to search by customer Drivers License. Some customers are not comfortable giving their SSN, but we always have their DL. There needs to be a search for Drivers License number.

To enable Legacy Search:
- Visit https://cusits.zendesk.com/hc/en-us/articles/43533059606676-UB4-Preferences.
- Turn on the Legacy Search option.
Once enabled, you’ll be able to search using Driver’s License numbers as requested.

Search by Billing Address in UB4
When searching for a customer, the ability to search by the billing address is extremely helpful. We receive a lot of checks in the mail that do not have account information on them and we use the search field by billing address quite often in CBSW. With these types of situations, searching by the billing address becomes the only way we can easily identify which account to post the payment to correctly.

MSOs showing open/closed by default, should show open only by default
When a tech logs into Service Orders they should only see open by default

Automatic email generated to customer if change made on their account
When a change, like an address change, is made on an account where that customer is signed up for the web portal, an email is automictically generated to them. in the body of the email that is sent to the customer there is a box in the upper left hand corner that has nothing in it. It says click on the "x" to see image. It would be nice if the box could be removed all together or if maybe our company logo can go in it.
7 votesThis behavior is controlled by the default company logo uploaded into UB4. If no logo is uploaded, the placeholder box will appear in the email. To resolve this, simply upload your company logo to UB4 by following these steps:
- Navigate to Settings > Company > Company Details.
- On the right-hand side, you will see an option to Edit and upload your company logo.
- Once uploaded, the logo will display on certain reports, forms, and emails, replacing the empty placeholder box.

billing
I ended up finishing my billing on the 26th & for some reason it put my posted date as the 24th. Can you make it to where it will not save previous dates that you have put in? That sure would be nice.

UB4 Exceptions noted in account
Have exceptions noted in the UB4 account transaction history similar to the UMS process

Meter and data exceptions are now displayed in the account history under the specific charge. This improvement provides clearer visibility and makes it easier to track exceptions directly within the relevant account details.

The description field for a customers phone number should show up at the top of the customer tab
The description field for a customers phone number should also show up at the top of the customer tab. I use this field to put the name of the person who the phone number belongs to, especially if it is a joint account. That way I know whose phone number belongs to who without having to hit the edit button to see that information.

Manually add inventoy item outside of meter changeout.
In UB4 we want to be able to manually add an inventory item when on the account outside of a meter changeout. It interrupts the process to have to go to inventory to add the serial number prior.
